At VI Therapy, appointment times are reserved exclusively for each client. Late cancellations, repeated rescheduling, and non-attendance result in loss of clinical time and business costs. The following policy applies to all bookings, including clinic and home visits.

Appointments are only confirmed once booked via message, online, phone, or in writing. By confirming a booking, the client agrees to this cancellation and refund policy.

A deposit or full payment may be required to secure an appointment. This reserves clinician time and may include administrative preparation and travel allocation.

• More than 48 hours’ notice: Full refund or free reschedule.
• 24–48 hours’ notice: Deposit retained or 50% cancellation fee.
• Less than 24 hours’ notice: 100% of the appointment fee is payable and non-refundable.
• Same-day cancellations / no-shows: 100% of the appointment fee is payable and non-refundable.

Clients are permitted one goodwill reschedule. Any second cancellation or second reschedule of the same appointment may result in loss of deposit or full payment being retained.

For home visits, travel time and scheduling are allocated in advance. Therefore:

• The travel fee is non-refundable once the appointment has been confirmed.
• If cancelled within 24 hours, the full appointment fee and travel fee may be retained.

If a client arrives late, treatment time may be shortened. The full appointment fee will still apply.

Refunds will not be issued for late cancellations, missed appointments, or repeated rescheduling outside the terms above. Any exception is made strictly at the discretion of VI Therapy.

We understand emergencies can happen. Any request for discretion must be made in writing, and supporting evidence may be requested.

If VI Therapy needs to cancel an appointment, the client will be offered either:

• A full refund, or
• An alternative appointment.

By booking, the client agrees not to initiate a chargeback for cancellation fees properly applied under this policy. VI Therapy reserves the right to dispute any payment reversal with supporting booking records and message confirmations.

You personal and identifiable information is kept secure. Only authorised employees, agents and contractors who have agreed to keep such information secure and confidential have access to this information.  All emails and newsletters from our sites allow you to opt out of further mailings.
